Civil Mind QuickBooks Connector — Privacy Policy

This Privacy Policy describes how Civil Mind (“we”, “us”, or “our”) collects, uses, and protects information through the Civil Mind QuickBooks Connector (the “App”). The App is an internal software integration that connects our company’s QuickBooks Online account to our own business systems through the Intuit Developer API. It is not offered to the general public.

1. Who we are

Civil Mind is a civil engineering consulting firm. If you have any questions about this policy or the App, contact us at admin@civilmind.io.

2. What information the App accesses

When an authorized user connects a QuickBooks Online company to the App, Intuit grants the App access under the com.intuit.quickbooks.accounting scope. Under that scope the App may read, and where needed create or update, accounting records belonging to that company, including:

  • Company information and chart of accounts
  • Customers, vendors, and employees
  • Invoices, estimates, sales receipts, payments, and credit memos
  • Bills, bill payments, purchases, and expenses
  • Journal entries and financial reports

The App also receives and stores the OAuth 2.0 access and refresh tokens that Intuit issues for the connection, together with the QuickBooks company identifier (realm ID).

The App does not access QuickBooks Payments, payroll, or banking credentials, and it never receives your Intuit account password.

3. Why we use this information

We use the information solely for our own internal business purposes:

  • Bookkeeping, reconciliation, and financial reporting for our company
  • Preparing and sharing financial information with our licensed tax and accounting professionals
  • Answering internal questions about invoices, payments, expenses, and account balances
  • Automating routine accounting tasks for our own company

We do not use QuickBooks data for advertising, profiling, or resale.

4. Who can use the App and see the data

Access to the App is limited to Civil Mind personnel and the independent accountants and bookkeepers we have engaged to work on our books. Each of those persons is bound by professional or contractual confidentiality obligations. We do not sell, rent, or otherwise disclose QuickBooks data to third parties, except:

  • To Intuit, as required to operate the QuickBooks Online API connection
  • To our accounting and tax professionals, for the purposes described above
  • When required by law, regulation, subpoena, or court order

5. Where the data is stored and how it is protected

The App runs on servers controlled by Civil Mind. Data in transit between the App and Intuit is protected by HTTPS (TLS). OAuth tokens are stored in files with restricted permissions accessible only to the service account that runs the App. Access to those servers is limited to authorized administrators.

Data retrieved from QuickBooks is used for the immediate task and may be cached or kept in internal reports only as long as reasonably necessary for accounting, tax, and record-keeping purposes.

No system is completely secure. If we become aware of a security incident affecting QuickBooks data handled by the App, we will investigate and take appropriate steps, including notifying affected parties where required by law.

6. Your choices and how to disconnect

The connection between QuickBooks Online and the App can be revoked at any time by a company administrator from the QuickBooks Online “Apps” page (My Apps → Civil Mind QuickBooks Connector → Disconnect), or by contacting us at admin@civilmind.io. Once disconnected, the App can no longer access the company’s data, and we will delete the stored OAuth tokens for that company.

7. Children

The App is a business tool and is not directed to, or intended for use by, anyone under the age of 18.

8. Changes to this policy

We may update this policy from time to time. The current version will always be published at this URL, with the effective date shown at the top.
